Improve your eMail management with Outlook using PIFEM

Almost a year ago I stumbled upon the guides of three Microsoft employees, Angus Logan, Johann Kruse & Ian Palangio, which described how these three handled the massive amount of email which filled their inboxes every day. They took the best practices of known email management approaches (e.g. the 4 D’s, GTD etc.) and combined them. The result is what they call the the Pay It Forward Email Management (PIFEM) system.

The Pay It Forward idea is from the Kevin Spacey movie Pay it Forward there is one key premise to this course: IF YOU DECIDE TO TRY THE APPROACH OUTLINED, AND YOU ACTUALLY FIND IT USEFUL, YOU HAVE TO PAY IT FORWARD AND TELL 3 OR MORE OTHER PEOPLE ABOUT IT AND GET THOSE PEOPLE TO CONSIDER TRYING THE APPROACH. IF THIS INFORMATION IS TRULY USEFUL, THE CONCEPT WILL SPREAD. IF THIS INFORMATION IS NOT TRULY USEFUL, THE CONCEPT WILL DIE A NATURAL DEATH.

In multiple blog posts (here, here and here) they explained their system, but I just recently discovered a blog post from Ian Palangio, dated June 08, where he posted an OneNote document giving a very detailed explaination how the PIFEM system works and how you’ll have to set up your Outlook to work properly. You might notice that I try to follow the PIFEM paradigm by writing the article, recommending to use PIFEM to organize your email. It helped me and might help you as well to fight the eMails flooding your inbox (to make it look like Ian’s on the picture below).
